Creating and Using Sequences in Ring.io

Sequences in Ring.io allow you to automate multi-step outreach workflows combining calls, emails, and text messages. Use sequences to build consistent follow-up cadences that keep your team on track and ensure no lead falls through the cracks.

Accessing the Sequences Library

To access your sequences, click the Sequences icon in the left-hand sidebar of your Ring.io dashboard.

The Sequences Library displays all your existing sequences in a table with the following columns:

  • Name — The name of the sequence.

  • Status — Whether the sequence is Active or Paused.

  • Linked to — Whether the sequence is linked to an individual User or a Department.

  • Audience — The contact list associated with the sequence.

  • Done / Total — The number of contacts who have completed the sequence versus the total enrolled.

You can filter the view using the All, Active, and Paused tabs at the top of the list.

Creating a New Sequence

To create a new sequence, click the Add new + button in the top-right corner of the Sequences Library. This opens the Sequence Creation Wizard, which guides you through three steps.

Step 1: Basic Settings

Configure the foundation of your sequence:

  • Sequence Name — Give your sequence a descriptive name (e.g., "My First Sequence").

  • Use a contact list — Select which contact list should be used for enrollment. Sequences require a contact list to operate.

  • Enable timezone protection? — Toggle this on to prevent actions from being performed when it is too late or too early in the contact's timezone.

  • Link sequence to — Choose whether to link the sequence to Me (your user account) or to A department.

Click Next to continue.

Step 2: Exit Dispositions

Configure the conditions that will automatically remove a contact from the sequence:

  • Exit Dispositions — Select the disposition(s) that should trigger a contact's exit from the sequence. This is optional and can be left empty if you don't want contacts to exit based on call dispositions.

For example, if a rep marks a call with a "Meeting Booked" disposition, you may want that contact to automatically exit the sequence since the goal has been achieved.

Click Next to continue.

Step 3: Enrollment Conditions

Define how contacts are enrolled and ordered in the sequence:

  • Can contacts re-enroll in the same sequence? — Toggle this on to allow contacts to re-enter the sequence after they have exited.

  • Enroll Sorting Mode — Choose between Basic and Advanced enrollment modes.

    • Basic lets you enroll contacts based on a list property such as First in, first out (FIFO), Value, Ringio Account ID, Name, Email, or ID.

    • Advanced allows you to set up a priorities engine for more complex enrollment ordering.

Click Create the Sequence to finish.

Adding Actions to Your Sequence

Once your sequence is created, you'll be taken to the sequence editor. The editor has four tabs across the top: Actions, Enrollment, Exit Triggers, and Settings.

The Actions tab is where you build your outreach workflow. If the sequence is new, you'll see an empty state with an + Add new button.

Click + Add new to open the action picker. You can choose from three action types:

  • Make an automatic call — Automatically call the target contact.

  • Send an email template — Automatically send an email using a pre-configured email template.

  • Send a text message template — Automatically send an SMS/MMS using a pre-configured text message template.

Configuring Actions and Delays

After adding actions, you can build out a complete multi-step sequence. Each action in the sequence includes the following options:

  • Delay — Set a time delay between actions. The first action can be set to No delay (it runs immediately when the contact is enrolled), while subsequent actions can be spaced out by a number of days (e.g., 5 days, 2 days). Click on the delay value to adjust it.

  • Template selection — For email and SMS actions, select the template you want to use from the dropdown. A preview of the message content will appear below.

  • Delete an action — Click the three-dot menu (⋮) to the right of any action to remove it from the sequence.

  • Add more actions — Click the + (plus) button at the bottom of the action list to add additional steps.

  • Flush the action list — Click the clipboard icon in the top-right corner to clear all actions from the sequence.

  • Enable / Disable the sequence — Use the toggle switch next to the sequence name in the top-left corner to activate or pause the sequence.

Once you're happy with your sequence, click Save Changes in the top-right corner.


Managing Your Sequences

After saving, your new sequence will appear in the Sequences Library. Newly created sequences default to a Paused status until you enable them using the toggle in the sequence editor.

From the library you can click on any sequence to open it and make changes, add or remove actions, adjust enrollment settings, or activate and pause it as needed.

Dialing a Sequence from the Power Dialer

Once your sequence is set up and contacts are enrolled, you can dial through it using the Power Dialer. To access it, click the Power Dialer icon in the left-hand sidebar.

From the Power Dialer view you can:

  • Select your sequence — Use the dropdown in the top-left to choose the sequence you want to dial (e.g., "My First Sequence").

  • Start Calling — Click the Start Calling button to begin working through the contacts in your sequence.

  • Autoprogress — Toggle this on to automatically advance to the next contact after each call.

  • Snooze time — Adjust the delay (in seconds) between calls when Autoprogress is enabled.

  • Manage List — Click Manage List to view or edit the contact list linked to your sequence.

  • View touchpoints — Switch between the Upcoming Touchpoints and Past Touchpoints tabs to see which contacts are next and which have already been reached.

  • Filter, Sort, and Customize columns — Use the controls on the right to adjust your view.

Tip: Power Automations do not work with Sequences.
